Exports and CA Handover

This guide helps a non-accountant ADMIN review accounting reports, export them, and prepare a package for the company’s chartered accountant (CA).

Before using this guide, read Accounting Overview, Accounting Basics, and the Accounting and ERP Glossary. For setup controls, use Accounting Settings, Fiscal Years and Periods, and Accounting Readiness.

Before You Export

  1. Sign in with the ADMIN role.
  2. Open Settings > Company and confirm that the company name is complete and correct.
  3. Refresh Accounting Setup > Readiness and investigate every warning or blocker relevant to the reporting period.
  4. Confirm that expected business documents have reached the state that creates their accounting posting.
  5. Open each report, apply the agreed filters, and review the on-screen result before downloading it.

CSV and PDF exports are unavailable when the company name is blank. The name identifies the reporting entity in the handover, so do not enter a temporary value merely to enable export.

What Screen, CSV, and PDF Represent

The report screen, CSV, and PDF use the same accounting rules and response shape for the same selected filters. PDF uses the report currently loaded on screen. CSV is a fresh server snapshot, so it can differ if a posting occurs after the screen was loaded.

Refresh and review the report immediately before generating both formats. Record their generation times and keep the CSV and PDF for the same reviewed scope together. If another posting occurs between downloads, refresh and regenerate both.

All report amounts are in BDT. CSV monetary values preserve four decimal places, for example 1234.5000. This exact format avoids hidden rounding during handover. A spreadsheet may display the value differently, but the exported value remains the authoritative report value.

Choose and Review the Scope

Use Financial Reports for help interpreting each report.

Trial Balance

Use fiscal year, accounting period, or a complete date range. You can also select hierarchy level 1 to 3 and whether to show zero balances.

  • A selected accounting period must belong to the selected fiscal year.
  • Custom dates within a selected year or period can narrow that scope, not extend it.
  • If using dates without a year or period, enter both the start and end date.
  • Review opening, period, and closing reconciliation separately.
  • Investigate unresolved accounts and every non-zero difference before export.

General Ledger

Choose an account, an optional date range, and one mode:

  • Leaf mode shows postings for the selected account only.
  • Group mode includes the selected account and its account-tree descendants.

Review the opening balance, every posting, source reference, running balance, closing balance, reversals, and adjustment evidence.

Profit & Loss

Enter both start and end dates. Select hierarchy level 1 to 3 as needed.

The hierarchy level changes presentation detail, not the report totals or net profit. Year-end close and close-reversal entries are excluded from this report, while other posted adjustments remain included.

Statement of Financial Position

Enter the required as-of date. You may enter an earlier comparison date; otherwise the application attempts to use the end of the immediately preceding continuous fiscal year. Select hierarchy level 1 to 3 and whether to show zero balances.

Review negative or abnormal balances, unclassified or unresolved accounts, and the visible Assets = Equity + Liabilities reconciliation.

Receipt & Payment

Select the calendar Month and Year, apply the filters, and choose whether to show empty expense categories. Confirm that the relevant cash and bank accounts have the correct liquidity classifications.

This report is not a bank reconciliation or a statutory cash flow statement. Its available-funds figures should be reviewed as shown and not rebuilt from only the visible category rows.

Export Formats

CSV

Use CSV when the CA needs complete working data for the selected filters.

  • The file contains all filtered report rows, not only rows currently visible on screen.
  • Dates use a consistent year-month-day format.
  • Monetary values remain raw BDT fixed-four-decimal values.
  • Text is prepared for safe opening in common spreadsheet software.

Do not add, remove, or overwrite values in the CSV and then present the changed file as a Supply Weave export. If working notes are needed, retain the original export and save the annotated copy under a clearly different name.

PDF

Use PDF for a fixed, readable presentation:

For Receipt & Payment, choose A4 readable for normal review and printing. Choose A3 compact when the report has many daily columns and an A3 printer or PDF review is available. Check the print preview, paper size, orientation, and scaling before printing.

Filenames and Generation Time

Downloads use a stable filename based on the report and selected period or as-of date. The report also records when it was generated. These details help the ADMIN and CA identify which files belong together.

Do not rename files in a way that hides their report type or scope. If your document policy requires extra wording, add it after the original filename base. Keep a note of the generation time when several versions are produced on the same day.

Review Before Download

For each report:

  1. Confirm the company name shown is correct.
  2. Confirm the selected dates, fiscal year, period, month, comparison date, hierarchy, and account scope.
  3. Confirm amounts are presented in BDT.
  4. Review readiness findings, unresolved accounts, abnormal signs, and reconciliation differences.
  5. Drill into relevant General Ledgers and source references for unusual balances.
  6. Confirm approved opening balances and adjustments are posted when they should be included.
  7. Export CSV and PDF only after the on-screen result is accepted for handover.

If a correction is posted after review, repeat the review and regenerate the affected files. Do not combine an old PDF with a new CSV.

Prepare the Five-Report Package

Place the handover reports in this order:

  1. Trial Balance for the agreed reporting period.
  2. General Ledger exports for material, unusual, or specifically requested accounts.
  3. Profit & Loss for the agreed period.
  4. Statement of Financial Position at the agreed reporting date, with its comparison.
  5. Receipt & Payment for each requested month.

Keep each report’s CSV and PDF together. Add the supporting evidence described below and a short list of unresolved warnings, assumptions, and matters requiring CA review.

Include Supporting Evidence

Opening Balances

When the scope includes the system cutover, include:

  • the CA-approved opening trial balance or workpaper;
  • the opening-balance import date, row count, debit and credit totals, and validation result;
  • the validated or posted content hash;
  • the posted opening journal reference; and
  • reversal evidence if the opening import was reversed.

Follow Opening Balances. Opening balances are not approved merely because they were accepted by the application or because debits equal credits.

Adjustments and Corrections

For each posted adjustment, retain its reference, reason, person who provided it, related accounting period, external working-paper reference when used, and any link to the voucher it corrects. Include the CA approval or supporting workpaper required by company policy.

Corrections must be posted through the appropriate cancellation, reversal, compensation, or adjustment-journal workflow. Never edit an export as a substitute for correcting the ledger. After posting a correction, regenerate every affected report.

Close and Reopen Evidence

For a closed period or fiscal year, include the close reason, responsible ADMIN, time, status, report review evidence, and relevant audit record. If a period or year was reopened, also include the reopen reason, approval, audit record, resulting reversal evidence, and the reports regenerated afterward.

Use Monthly Period Close and Fiscal Year Close for the full close and reopen procedures. Exporting reports does not close a period, approve a close, or replace the audit trail.

Responsibility and Exclusions

Supply Weave records supported posted transactions, preserves journal history, and produces reports from those records. The ADMIN is responsible for correct source documents, dates, parties, posting states, filters, evidence retention, and investigation of warnings.

The business and its CA remain responsible for accounting policy, completeness, classification, cutoff, tax and VAT, depreciation, accruals, provisions, statutory disclosures, audit procedures, approved adjustments, and filing obligations.

The export package does not:

  • prove that every real transaction was entered;
  • prove that every account or period is correct;
  • perform a bank reconciliation;
  • calculate all tax, VAT, depreciation, provisions, or audit adjustments;
  • create statutory notes or filings; or
  • replace professional review or audit assurance.

Troubleshooting

Export Says the Company Name Is Missing

Open Settings > Company, enter the approved legal or reporting name, save it, and return to the report. Refresh the report before exporting again. If the name is already visible but export remains blocked, reload the page and confirm the setting was saved.

PDF Download Does Not Start

Check the browser’s download indicator, download permissions, available storage, and any visible error. Refresh the report and retry once. Normal PDF download does not require a pop-up window.

Receipt & Payment Print Preview Is Blocked

The browser may block the separate print-preview window. Allow pop-ups for the Supply Weave site, then try Readable Print or Compact A3 again. Do not disable browser protections for unrelated sites.

Download Does Not Start

Confirm that you are still signed in as an ADMIN, the report has finished loading, and the filters are valid. Check the browser’s download indicator and download location. Retry once after refreshing the report. If it still fails, record the report name, filters, time, and visible error for the system administrator.

Receipt & Payment Prints Too Small

Use A4 readable landscape for ordinary review. For a wide report, select A3 compact landscape, set the printer or PDF dialog to A3 landscape, and inspect the preview. Avoid forcing the A3 version onto A4 if the text becomes unreadable.

CSV and PDF Totals Differ

First confirm that both files have the same report scope and generation context. One may have been generated before a posting or filter change. Refresh, review, and regenerate both files together. Do not manually change either export to force agreement.

Final Handover Check

  • Company name is correct and present on exports.
  • Every report was reviewed on screen before export.
  • CSV and PDF scopes match.
  • The five-report package is in the recommended order.
  • Opening-balance and adjustment evidence is included where relevant.
  • Close or reopen audit evidence is included where relevant.
  • Original exports are retained unchanged.
  • Unresolved matters and responsibility exclusions are stated for the CA.
